Telephone, personal contacts
People engaged, in trade with foreign countries have to use various means of
communication: telephone conversations, personal contacts (meetings, business
talks), letters, telexes, telegrams (cables), telecopies (facsimiles).
Telephone is the quickest way to communicate and is most frequently used
under pressure of time, also within the country, say, between the Trade Delega-
tion and various companies (trading, shipping and others). Important telephone
conversations, e.g. concerning prices, terms of payment or claims, are to be con-
firmed by letter with the appropriate signatures to provide legal evidence of the
deal (agreement achieved).
Personal contacts (meetings, business talks) are conducted with a view to
reaching a compromise agreement. Both parties together move towards an out-
come which is to mutual benefit. Introducing people note about etiguette. Re-
member:
1. Men are introduced to women.
2. Young people to older ones.
3. Old friends to newcomers.
4. A young girl to a married woman.
It's no use immediately discussing business matters. The topic at the outset of
business talks should be neutral, non business. The two parties adjust their think-
ing and behavior to one another. At the very beginning of the talks get agreement
covering the purpose, plan, agenda of a meeting. If talks are difficult and you are
in a deadlock take time-out.
