subordinates or associates. So the first rule for ensuring the success of a meeting is to
make sure that it is necessary. Once necessity has been established, the manager can
focus his attention on how to organize it so as to best achieve his objectives.
Determining group size: Only those who have a need to be at the meeting should
attend. Group size has a significant influence on the effectiveness of a meeting.
Experiments have shown that as discussion-group size increases, the likelihood of
group consensus decreases. In addition, the discussion leader in a smaller group can
influence decisions more than the leader in a larger group.
Structuring the meeting: The discussion leader should prepare a carefully
conceived written plan for the meeting. He
must be clear in his own mind about the
objectives of the meeting and should list
the specific problems or questions that are
to be considered by participants. Wording
of the problems or questions is important
because this – to a large degree – will determine the structure and, perhaps, even the
success of the meeting. Effective discussion leaders frequently spend several hours
outlining the areas to be discussed.
The following sequence should be followed in preparing a meeting plan: statement
of the problem; statement of the facts; consideration of objectives; examination of
proposals in the light of the facts and objectives; summary of the discussion; and
consideration of means to implement decisions.
Summarizing the discussion is a vital step in the meeting procedure. This should
not be a routine review of all the arguments presented, but a brief summary of the
results of the discussion – a statement of points on which agreement was reached or a
solution found, as well as identification of the issues left undecided because of a lack of
information or unresolved disagreements.
