Preparing an advance agenda: The most frequent shortcoming of an agenda is

lack of careful planning. Most agendas are thrown together with little attention to

grouping and highlighting the various areas to be discussed. As a result, participants are

not alerted to the important aspects of scheduled topics. Problems should be listed on

the agenda in terms of action-priorities.

A question that discussion leaders frequently puzzle over is whether or not the

agenda should be circulated before the meeting. In general, the answer is yes. An

advance agenda enhances understanding, generates ideas, and brings the group together

primed with the best information they can muster. Furthermore, group members who

come to meetings prepared are better motivated and derive greater satisfaction from the

meeting.

Some discussion leaders encourage group members to prepare questions which are

submitted in writing before an agenda is drawn up. This gives the members an increased

sense of interest and involvement in the business of the meeting.

Setting the scene: Although the importance of adequate physical conditions

should be obvious, this factor is the one that is most often overlooked. The discussion

leader should personally check the conference room before anyone arrives and make

sure that the following conditions are met:

• The seating arrangement should be such that participants are close together to

develop the necessary feeling of cooperation. They should be able to see each other and

the discussion leader without difficulty.

• A blackboard and a space for displaying diagrams, charts, and maps should be

provided.

• Lighting and air conditioning should be adequate.

• The conference room should be free from noise and interruptions.
